Cancellation and Refund Policy

At ProManage IT Solutions, we value our relationship with our clients. To make sure everything is clear and fair, we’ve created this Cancellation and Refund Policy. By using our services, you agree to the terms in this policy. This policy is legally binding and applies to all engagements with ProManage IT Solutions.
Cancellation Policy
- Cancellation Before Work Begins
1.1 If you cancel a project before we start any work, we will refund your deposit, minus:
- Administrative fees related to setting up the project.
- Costs for any preliminary services, such as domain name registration, hosting setup, or third-party tools.
1.2 You must send your cancellation request in writing to contact@promanageitsolution.com. The cancellation is only valid once we confirm it.
- Cancellation After Work Has Begun
2.1 If you cancel after we’ve started but before the project is finished:
- You’ll be billed for the work done so far.
- The charges will be based on either our standard hourly rate or the percentage of work completed, whichever is higher.
2.2 Refunds will be issued after deducting:
- The cost of work completed.
- Non-recoverable expenses we’ve already paid on your behalf.
- Any applicable administrative fees.
- Cancellation After Project Completion
3.1 Once your project is completed, tested, delivered, and launched, we do not accept cancellations.
3.2 Any remaining payments for completed work must be paid immediately according to the service agreement.
Refund Policy
- Non-Refundable Services
1.1 Payments for the following services are non-refundable:
- Maintenance and support time blocks (unused hours will be available for up to a year).
- Domain registration, hosting setup, and related services once they have been started.
- Refunds for Deposits
2.1 Deposits are refundable only if:
- We have not started work on the project.
- Refunds will be issued after deducting any costs, including administrative fees, initial consultations, or third-party expenses.
2.2 Refund requests must be submitted in writing, explaining why you’re canceling. We will review your request before processing any refunds.
- Website Design and Development Projects
3.1 For website design and development projects:
- No refunds will be given once the project is completed and launched.
- Any changes or updates after the project is live will be treated as a new project and billed separately.
Client Responsibilities and Liability
- Client Obligations
1.1 Clients must:
- Provide all needed resources, materials, and approvals on time.
- Communicate openly and respond to requests or questions quickly.
- Delays and Lack of Communication
2.1 If there are delays because the client doesn’t provide required resources or feedback:
- We may revise the project timeline and costs.
- If the client stops communicating for more than 30 days without notifying us, we will consider the project abandoned.
2.2 Abandoned projects will be terminated, and any payments made will not be refunded. The work done will remain the property of ProManage IT Solutions until full payment is received.
Force Majeure
ProManage IT Solutions is not responsible for delays or failure to meet deadlines due to events beyond our control, such as natural disasters, pandemics, government actions, labor strikes, or technical issues. We will notify all parties as soon as possible and will make every effort to resume services when we can.
Policy Changes
We can change or update this Cancellation and Refund Policy at any time. Any updates will be posted on our website immediately. Clients should review this policy regularly to stay informed of any changes.
Dispute Resolution and Governing Law
Any disputes under this policy will be resolved through mediation or arbitration in Noida, India. If legal action is needed, it will be taken in courts located in Noida.
